How to Use the SharePoint Agent in Jira, from Chat to Automation
New to the ikuTeam SharePoint Agent? This article walks through everything you need to get started: how to talk to it directly in Jira, and once you're comfortable with that, how to have it do the same work automatically as part of a Jira Automation rule.
What exactly is the SharePoint Agent?
The SharePoint Agent is an AI extension built into SharePoint Connector for Jira, working alongside Atlassian Rovo to connect your Jira workspace directly to SharePoint. Instead of opening and reading through every attached or linked file yourself, the agent reads and indexes the content of your documents for you. It runs on Atlassian's Forge platform, so your data stays inside the Atlassian ecosystem the whole time.
Which files can it actually see?
The agent scans the SharePoint files and folders already connected to the work item you're viewing, so when you ask it something, it's working from the same files you'd find in that work item's SharePoint & OneDrive section, not your entire SharePoint site.
It also picks up root folders connected at the Jira Space level, so if your team keeps a shared project library connected there, the agent can pull context from that too. In short: if a file or folder is connected somewhere Jira can already see it from that work item, the agent can see it too.
Do I need anything special to use it?
Getting Rovo turned on for your site is usually a one-time step your Org admin handles. Once that's done, everyone in the space can use the agent without any setup of their own.
How do I actually start talking to it?
Look for the Ask Rovo button next to the notification icon in your Jira instance.
Open Rovo Chat.
Switch to the SharePoint Agent.
Start typing, the same way you'd message a teammate.
What should I ask it?
You can ask anything that points at a specific work item or file.
Few examples to get you started:
"What are the files attached to this work item?"
"Are there any duplicate files in this space?"
"Summarize
TestCases.xlsx.""What are the key takeaways from the test plan attached here?"
"Summarize the requirements doc linked to this work item, and list anything that looks like a technical constraint."
What can it actually do for me?
Beyond answering one question at a time, the agent can summarize long Word, Excel, PowerPoint, or PDF files without you opening them, answer questions about files in SharePoint without leaving Jira, and search inside a file's content rather than just its file name. Everything runs on Atlassian's Forge infrastructure, so nothing leaves the Atlassian ecosystem to do this.
Asking the same question for multiple work items?
If you're the Jira admin, watch for this pattern: once your team starts asking the SharePoint Agent the same kind of question on every work item, "summarize the attached spec," "what's in this folder," that's no longer a chat use case, it's a rule waiting to be built.
Every recurring question is time your team spends typing the same prompt by hand, work item after work item.
How do I set this up inside Jira Automation?
In your space, go to Settings > Automation and create a new flow
Set a trigger, or configure the rule to run manually.
Add the agent action and select the SharePoint Agent.
Enter a prompt: a plain-language instruction telling it what you want back.
Add a follow-up Add comment action, and insert the response using the smart value
{{agentResponse}}.
What does that look like in practice?
Say a new feature request comes in with a spec linked from SharePoint. You can set the rule so that the moment the work item is created, the agent reads that spec and posts a summary as a comment, before anyone on the team has even opened the file.
What kind of prompts work well inside automation?
Specific extraction: "List all due dates and owners mentioned in the 'Timeline' section."
Tone adjustment: "Write a two-sentence executive summary suitable for a stakeholder update."
Formatting: "Return the findings as a markdown table with columns for 'Risk' and 'Mitigation Strategy'."
Gap analysis: "Identify if the document is missing a section on budget or resource allocation."
