We'll cover the different ways to edit your documents on Jira using the Team Files app, expanding the topics presented on the page about the file manager.

While some files are preview-only, like images and PDF files, when it comes to Office documents, you can also edit the most popular formats right inside Jira. You can edit documents on the file manager and issues in which you attached files and folders

creating and editing files

You can create Office files directly in your issues. You can also edit spreadsheets, documents and presentations on issues where you attached Office files without downloading to edit and re-uploading multiple copies or locking other people out while editing the document.This way, it's easy to use your Jira issues as your one source of truth, with content always accessible, updated, and editable


Creating a new file

You can add a new spreadsheet, document, or presentation at any moment to your issue.

  1. Click the “New…” button

  2. Select the desired format

  3. Enter a name for your new file

  4. Click save.

Refresh your browser view, and you’ll see the new file attached to your issue. You can now start editing by clicking the “Edit” Button.

Editing a Microsoft Office or OpenOffice Document

It's possible to edit a document from the file manager, including the full-screen preview. You can also edit documents that are Office files attached to your issues .

Regardless of the context, you can edit documents by clicking the Edit “Edit” button (1also available in the full-screen preview).

A new tab opens, where the appropriate editor opens, and you can edit your document in a few seconds.

When editing a Microsoft Office document, spreadsheet, or presentation, you and your team can work together, as the Microsoft 365 editor supports real-time collaboration, so there are no file lockdowns. There's also an autosave feature, so when you finish, you can close the tab.

Open Office documents work the same way as Microsoft Office documents, using the Microsoft 365 editor, but do not support real-time collaboration.


Real-time collaboration

As mentioned before, Microsoft Office and Google Documents support real-time collaboration, and it's effortless to use.

Start editing a document that is attached to an issue or even from the file manager. When another person clicks to edit the same document, the editor creates a collaboration session seamlessly. You can continue to edit the document as before and leave it anytime by closing the browser tab.

Supported file formats for edit

  • Microsoft Office documents: DOC, DOCX, DOCM, XLS, XLSX, XLSM, XLSB, PPT, PPTX, and PPSX

  • Microsoft Office templates: DOT, DOTX, DOTM, POT, POTX, and POTM

  • Open Office documents: ODT, ODS, and ODP

InfoWe support preview of the old formats (.doc, .xls, .ppt), but only the new formats (.docx, .xlsx, .pptx) can be edited using Microsoft 365 editor. This is a Microsoft 365 restriction as the old formats are considered legacy. Also, some complex Word documents or some Excel spreadsheets with macros may not be possible to edit due to Microsoft limitations.

Jira Service Management

Due to Atlassian API limitations, editing attachments on Jira Service Management issues is not possible. Publishing an attachment to internal agents or external customers requires publishing a message with the attachment.

Note

We are working on a solution to support editing customer and agent attachments.


Permissions

To be able to edit attachments, please check if you have the right permissions defined on Jira. Permissions options:

  • Users can only “Delete Own attachments”: the user will be only able to edit files that they uploaded.

  • Users can “Delete All attachments”: the user will be able to edit any file attached to the issue.
